Who we are
Polar King Services (“Polar King,” “we,” “us”) is a licensed HVAC contractor in Orlando, Florida (FL License #CAC1824159). We are located at 2167 Orinoco Dr, Suite 164, Orlando, FL 32837.
This policy explains what personal information we collect when you visit polar-king.com, book a visit, call or text us, or receive service. It also explains how we use and share that information and the choices you have. We do not sell your personal information.
Information we collect
We collect information you give us, information created when we serve you, and information collected automatically on our website.

We do not ask for Social Security numbers. Payment card details are handled by our payment processor; we do not store full card numbers on our website.
How we use your information
We use your information to provide the service you asked for and to run our business. Specifically, we use it to:
- Schedule, confirm and perform service visits, and send technicians to the right address
- Contact you about your request by phone, text or email
- Prepare estimates, invoices and warranty records
- Send maintenance reminders and service updates
- Answer questions and handle complaints
- Measure how well our website and ads work, and improve them
- Protect against fraud and meet legal and licensing obligations
We send marketing emails or texts only if you agree to receive them, and you can opt out at any time.
Text messages (SMS)
If you check the box to receive text messages, we will text you about your appointment, such as confirmations, technician arrival times and service follow-ups. Message frequency varies. Message and data rates may apply.

- Agreeing to texts is not a condition of buying any service.
We do not sell or share your mobile number or text-messaging consent with third parties or affiliates for their own marketing purposes.
Cookies, analytics and advertising
Our website uses cookies and similar technologies from Google and Meta (Facebook). They help us understand how visitors use the site, measure which ads lead to bookings, and show our ads to people who may need HVAC service.

Our site does not currently respond to browser “Do Not Track” signals.
How we share information
We do not sell your personal information. We share it only as needed to serve you and run our business:
- Service providers who work for us, such as scheduling and customer-management software, phone and texting services, website hosting, email, and payment processing. They may use your information only to provide services to us.
- Equipment manufacturers and distributors when you need warranty registration, a warranty claim, or parts.
- Financing partners, only if you apply for financing.
- Advertising and analytics partners (Google and Meta), as described in the section above.
- Legal and safety reasons, when the law requires it or to protect our rights, our customers or our employees.
- A business sale, if Polar King is merged or sold; the new owner must follow this policy.
How long we keep it and how we protect it
We keep customer and service records for as long as you are a customer, and afterward as long as needed for warranties, taxes, licensing and legal requirements. Booking requests that never become a job are deleted or anonymized when we no longer need them.
We use reasonable safeguards to protect your information, including secure (HTTPS) connections on our website, password-protected business systems, and access limited to staff who need it. No system is completely secure, so we cannot guarantee absolute security.
Your choices
You can ask us to see, correct or delete the personal information we hold about you. We will respond within a reasonable time. We may keep some records when the law requires it, such as invoices and warranty records.

- Emails: use the unsubscribe link in any marketing email.

Children’s privacy
Our website and services are meant for adults. We do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this policy from time to time. When we do, we will post the new version on this page and change the effective date at the top.
